Privacy notice for business contacts
Last updated 17 October 2026
Emberlight Artists manages musicians and books them for concerts, festivals, private events and media. To do that, we keep the details of the people and organisations we work with or would like to work with. This notice explains what we keep, why, and what you can ask us to do about it.
Who we are
Emberlight Artists Ltd, a company registered in England and Wales, number 17379355, at 71 to 75 Shelton Street, London WC2H 9JQ. We decide how your details are used, so we are responsible for them. You can reach us at contact@emberlightartists.com.
What we keep
- Business contact details that your organisation publishes or gives us: the organisation's name, address, website and social pages, its general email and phone, and the names, job titles and work email addresses of people who book, programme, write or decide there.
- Notes of our dealings: when we wrote or spoke, what was said, offers and bookings, which of our artists might suit you, and the next step we agreed.
- Your newsletter choice: whether you asked to hear from us, when, and whether you unsubscribed, so we respect it.
We do not keep home addresses, private phone numbers or anything sensitive about you as a person.
Why we keep it
- To book and promote our artists. Getting in touch with venues, festivals, event organisers, labels, broadcasters and press about our artists, and keeping track of what we agreed, is the ordinary work of an artist management company. We rely on our legitimate interest in doing it, and we keep it to work matters and to people whose job it concerns.
- To send our newsletter, where you asked for it, or where the law allows us to send it to a business address and you have not said no. Every newsletter has an unsubscribe link, and we stop straight away.
- To run our business: contracts, invoices and the accounts that go with them, which the law requires us to keep.
Where it comes from
From you or your colleagues, when you write to us, meet us or work with us. From what your organisation publishes, such as its website, programme and listings. From people in the music business who introduce us, and from public directories and festival and venue listings.
How long we keep it
Cold contacts: if we have found your details but have had no dealings with you for 24 months, we remove them.
People we work with: we keep your details while we work together, and for 6 years after, because that is how long the law asks us to keep business and tax records.
If you ask us not to contact you, we keep only your name or address on a short do not contact list, so that we never add you again by mistake. Our backups are replaced on a rolling basis, so anything removed leaves them within a few weeks.
Who sees it
Only the Emberlight team, in our own team workspace, which needs a personal sign in. We may pass your work details to one of our artists or their tour team when you book them, because they need to reach you. Our email and hosting providers store it for us under contract. We never sell your details or give them to anyone to market to you.
Your rights
You can ask us, free of charge:
- for a copy of what we hold about you,
- to correct anything that is wrong or out of date,
- to delete your details,
- to stop contacting you, or to stop using your details for a particular purpose (your right to object), and
- to stop sending you the newsletter, which you can also do with the link in any newsletter.
We reply within one month. If you are unhappy with how we have handled your details, please tell us first and we will put it right. You can also complain to the Information Commissioner's Office (ICO), the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
How to ask
Email contact@emberlightartists.com with the subject My details, or write to Emberlight Artists Ltd, 71 to 75 Shelton Street, London WC2H 9JQ. Tell us your name, your organisation and the email address we may have, so we can find you. If we need to check it is really you, we will say so.
We may update this notice when what we do changes. The date at the top shows the latest version.
